Cloud vs On-Premise ERP for Indian Manufacturers (2026)
Cloud ERP is hosted by the vendor and paid as a subscription, so you avoid servers and can work from any location. On-premise ERP runs on your own servers, giving you full control of data and uptime but more IT work. Most Indian manufacturers now choose cloud unless connectivity or group policy says otherwise.
Who it is for: This guide is for Indian manufacturers and traders with roughly ₹10–500 crore annual turnover deciding where their ERP should run.
Disclosure: Bsquare Solutions makes Pothera ERP, one of the options this guide discusses. We compare categories of ERP, not named vendors, and we say plainly where Pothera ERP is not the right fit.

Bsquare’s take
“Where the server sits matters less than who is responsible when it stops. Choose the deployment your team can actually run — and a vendor who supports both, so the decision is never permanent.”
Cloud vs on-premise ERP — compared
| Factor | Cloud ERP | On-premise ERP |
|---|---|---|
| Upfront cost | Low — no servers to buy | Higher — servers, licences, set-up |
| Running cost | Predictable subscription | IT staff, power, backups, hardware refresh |
| Access | Any plant, branch or device with internet | Office network, or VPN for remote access |
| Connectivity dependence | Needs reliable internet at each site | Works on the local network if internet fails |
| Updates and compliance changes | Applied by the vendor | Applied by your IT team or the vendor on visit |
| Data control | Hosted by vendor in a data centre | On servers you own |
| Backups and disaster recovery | Vendor-managed | Your responsibility |
| E-invoicing and e-way bill APIs | Connected over the internet | Also need internet to reach government portals |
| Scaling to a new plant | Add users and a location | May need more hardware and network work |
Which should you choose?
| Your situation | Usually choose |
|---|---|
| Several plants, branches or remote sales teams | Cloud |
| Small or no in-house IT team | Cloud |
| Plant with unreliable internet that must keep working offline | On-premise, or cloud with a backup link |
| Group policy requires data on company servers | On-premise |
| Existing server room and IT staff you want to use | Either — compare five-year total cost |
| Want to start fast and avoid capital spend | Cloud |
How Pothera ERP handles deployment
- Pothera ERP is available on cloud and on-premise; most Bsquare customers choose cloud.
- Features, GST and e-invoicing support are the same in both deployments.
- The same Bsquare team implements and supports both — there is no separate partner for on-premise.
Frequently asked questions
Is cloud ERP better than on-premise ERP?
Neither is better for everyone. Cloud ERP suits most Indian manufacturers because it avoids servers and works across locations. On-premise suits companies that need to keep working through internet outages or must keep data on their own servers.
Is cloud ERP secure for Indian businesses?
Yes, when it is hosted in a reputable data centre with encryption, role-based access and regular backups. Ask any vendor where data is hosted, how backups work and how quickly you can restore.
What happens to cloud ERP if the internet goes down?
Users cannot reach the ERP until the connection returns, so plants on cloud ERP usually keep a backup internet link. E-invoices and e-way bills need internet in any deployment, because they are generated on government portals.
Is on-premise ERP cheaper in the long run?
Sometimes, if you already have servers and IT staff. Compare five-year total cost: hardware, licences, power, backups, IT time and upgrades against the subscription.
Does Pothera ERP run on cloud or on-premise?
Both. Most customers choose cloud deployment, and on-premise deployment on your own servers is also supported.
Can I move from on-premise to cloud ERP later?
Yes, if your vendor supports both. With Pothera ERP, the same product runs in both deployments, so moving is a data and infrastructure exercise rather than a new implementation.
Sources and methodology
