Open-Source vs Licensed ERP for Indian Manufacturers (2026)

Open-source ERP has no licence fee, but you pay for implementation, Indian localisation, customisation and support — usually through your own developers or an integrator. Licensed ERP costs more upfront and comes with a vendor accountable for the product. For manufacturers without strong in-house IT, a licensed ERP is usually lower-risk.

Who it is for: This guide is for Indian manufacturers with roughly ₹10–500 crore annual turnover weighing a free open-source ERP against a licensed ERP.

Disclosure: Bsquare Solutions makes Pothera ERP, one of the options this guide discusses. We compare categories of ERP, not named vendors, and we say plainly where Pothera ERP is not the right fit.

Bsquare’s take

“There is no such thing as a free ERP — only an ERP where you have not yet seen the bill for implementation and support. The right question is who carries the risk when it goes wrong at month-end.”

— Payal Nambiar, Managing Director & CEO, Bsquare Solutions

The five costs of “free” ERP

  1. Implementation: Configuring masters, workflows, BOMs and reports for your plant.
  2. India localisation: GST, e-invoicing, e-way bills, job work, TDS and payroll rules — and keeping them current as rules change.
  3. Customisation and upgrades: Every custom change must be re-tested at each version upgrade.
  4. Hosting and security: Servers or cloud hosting, backups, monitoring and access control.
  5. Support: A person who answers when month-end, payroll or dispatch is blocked.

Frequently asked questions

Is open-source ERP good for Indian manufacturers?

It can be, if you have in-house developers who will configure, localise and support it long term. Without that, the hidden costs of implementation, GST localisation and support often exceed a licensed ERP’s fees.

Is there a free ERP for small manufacturing businesses?

Community editions of open-source ERPs are free to download, but not free to run. You still pay for implementation, hosting, Indian compliance localisation and support.

Does open-source ERP support GST e-invoicing?

Some do through community or paid add-ons. Check who maintains them and how quickly they are updated when GST rules change, such as the 30-day e-invoice reporting limit for businesses with AATO of ₹10 crore and above from 1 April 2025.

What is total cost of ownership in ERP?

Total cost of ownership is everything you spend over about five years: licence or subscription, implementation, customisation, hosting, training, support and internal time. Compare ERPs on this, not on licence price alone.

Is Pothera ERP open-source?

No. Pothera ERP is a licensed ERP built, implemented and supported by Bsquare Solutions. It is available on cloud and on-premise and is quoted per requirement.

Sources and methodology

This guide compares categories of ERP, not named products. The criteria come from Bsquare’s own implementations for Indian manufacturers and traders, the questions buyers ask most often in Google India search, and the official GST and MSME rules cited below. Compliance thresholds are taken from the government sources listed; check them against the current notification before you rely on them. Reviewed by the Bsquare implementation team.

  1. GSTN advisory, 7 November 2024 — 30-day time limit for reporting e-invoices on the IRP for taxpayers with AATO of ₹10 crore and above, from 1 April 2025
  2. GST e-way bill system (official portal)
  3. CBIC — GST notifications and circulars (including ITC-04 job-work filing frequency)
